Workforce Planning Coordinator

Position Summary
The Workforce Planning Coordinator plays a key role in building, coordinating, and supporting the organization's workforce. This position combines recruitment, multilingual employee support, HR coordination, and workforce planning to ensure staffing needs are met while providing employees with an accessible and effective point of contact throughout the employment lifecycle.
The ideal candidate is an organized, people-focused professional who can build strong relationships with candidates, employees, supervisors, and leadership. This position requires strong communication skills, cultural awareness, discretion, and the ability to communicate effectively across multiple languages and diverse employee populations.

Key Responsibilities
  • Coordinate and support the full recruitment process, from identifying staffing needs through onboarding.
  • Develop and maintain candidate pipelines for current and anticipated workforce needs.
  • Assist with job openings, review applications, conduct candidate screenings, and coordinate interviews.
  • Communicate with candidates regarding job opportunities, interview scheduling, hiring requirements, and onboarding expectations.
  • Build relationships with community organizations, schools, workforce agencies, and other recruitment partners.
  • Support recruitment strategies designed to attract and retain a diverse workforce.
  • Monitor open positions and hiring progress to help ensure staffing goals are met.
  • Work closely with department leaders and management to understand current and projected staffing needs.
  • Monitor workforce levels, vacancies, turnover, attendance trends, and anticipated staffing requirements.
  • Assist with developing short- and long-term workforce plans based on business needs.
  • Identify potential staffing gaps and communicate workforce concerns to appropriate leadership.
  • Help coordinate staffing priorities during periods of increased demand, seasonal changes, or organizational growth.
  • Maintain accurate workforce and recruitment data and prepare reports as needed.
  • Assist leadership with workforce-related projects and initiatives.
  • Serve as a trusted point of contact for employees who communicate in languages other than English.
  • Provide clear, accurate, and culturally sensitive communication between employees, supervisors, and HR.
  • Assist with translating or interpreting workplace information, policies, procedures, and communications when appropriate.
  • Help employees understand HR processes, benefits, workplace expectations, and available resources.
  • Assist supervisors and HR with communication across language and cultural barriers.
  • Maintain confidentiality and professionalism when handling sensitive employee matters.
  • Help create an inclusive workplace where employees feel supported and have access to necessary information.
  • Support onboarding, orientation, and employee integration processes.
  • Assist employees and supervisors with routine HR questions and direct complex matters to the appropriate HR resource.
  • Coordinate employment-related documentation and maintain accurate records.
  • Support employee engagement, retention, and workforce development initiatives.
  • Assist with HR projects, audits, reporting, and administrative responsibilities as needed.
  • Maintain compliance with company policies and applicable employment laws and regulations.
  • Handle confidential employee and candidate information with discretion.
Qualifications
  • 2+ years of experience in recruiting, HR, workforce coordination, staffing, or a related field.
  • Strong interpersonal and communication skills.
  • Fluency in English and at least one additional language strongly preferred/required, depending on organizational needs.
  • Experience working with diverse and multilingual employee populations.
  • Strong organizational skills and the ability to manage multiple priorities simultaneously.
  • Ability to build effective relationships with candidates, employees, supervisors, and community partners.
  • Strong attention to detail and follow-through.
  • Ability to handle confidential information professionally.
  • Proficiency with Microsoft Office, HRIS, applicant tracking systems, or other workforce management software.
  • Ability to analyze workforce information and identify staffing needs or trends.
Preferred Qualifications
  • Experience in workforce planning or workforce management.
  • Experience with high-volume or hourly recruiting.
  • Experience working in a multilingual or multicultural environment.
  • Knowledge of HR policies, employment practices, and recruiting regulations.
  • Experience with applicant tracking systems (ATS), HRIS, scheduling, or workforce management systems.
  • Bilingual or multilingual communication skills.
  • Experience partnering with community organizations or workforce development agencies.
